Refunds and cancellation

What you are charged, when, how to stop it, and what happens to money already paid. The last part is the one most pages bury, so it comes first here.
Refunds
- A started month is not refunded. The work starts the day the month is billed: the weekly batch is prepared, reviewed and signed whether you open the report or not.
- Annual prepaid is refunded pro rata for the unused full months only if we end the service early (see the terms, section 12). If you end a prepaid year early, the remaining months are not refunded; the prepaid price already includes two months free in exchange for that commitment.
- Audit-first cancellation at no charge: the first two weeks of every term are the audit. If the audit concludes that your account should not be running ads, we tell you in writing, cancel the term, and refund every fee paid for it. You keep the audit. This is the one refund that is a rule, not an exception.
How to cancel
By written notice: an email to hello@headcount-zero.co is enough. No call, no retention conversation. After the three-month minimum term the service runs month to month and ends 30 days after your notice, at the end of a billing month. Access to the client area and the monthly reports stays until the end of the paid period. When the term ends we unlink from your Google Ads account; everything in it stays yours.
How billing works
- Monthly rungs are billed in advance by card through Stripe, on the day of the month you first paid, for the length of the term and month to month afterwards.
- Annual prepaid is billed once, at ten times the monthly fee, and covers twelve months without automatic renewal.
- Prices are in euros for every customer and exclusive of VAT. EU business customers with a VAT ID account for VAT under the reverse-charge mechanism. Customers outside the EU are not charged Cyprus VAT.
- We never see or store your card details. Ad spend is billed by Google to your own payment method and never passes through us.
Failed payments
If a payment fails, Stripe retries it. If it keeps failing, you hear from a person before the work stops. A lapsed payment is not a cancellation: if you want to stop, cancel in writing so nothing keeps retrying against a card you thought you had closed.
Price changes
A price change is told to you in writing before the renewal it would apply to. A price never changes on a period already paid for.
Disputes
If something has gone wrong, write to hello@headcount-zero.co first. It reaches the same person who runs your account. A chargeback raised without that conversation ends the service.
